SIAE Guide to Mod. 109 and Mod. 109TF (music program for audiovisual works)

For productions and directors. Clear, correct instructions to avoid errors that block or divert royalties.

Quick checklist (10 minutes)

  1. Choose the right form: Mod. 109 (cinema) or Mod. 109TF (TV and/or Video On Demand).
  2. Fill in the "Declaration" sheet with confirmed data.
  3. Fill in the "Annex 1 - List of compositions" sheet with ALL the tracks used in the work.
  4. Durations must be whole seconds.
  5. Export and send via PEC in Excel or digital PDF (not scanned) to MUSIC.COPYRIGHT.REPERTOIRE@PEC.SIAE.IT.
  6. Archive: sent file + PEC acceptance receipt + PEC delivery receipt.

Who does what

Production

  • Completes and submits the form via PEC.
  • Responsibility stays with the production.

Composer

  • Provides a clean list of tracks and correct data (titles, names, durations, publisher if any).

When to do it

Do it when the edit and the music are final, and in any case before the first release or broadcast.

How to fill "Declaration" (only the key fields)

Typical fields (fill only what is required):

  • Title of the work.
  • Genre.
  • Production details and contacts.
  • First release: if not available, leave blank or fill only what is certain.
  • Synchronization manager: the person who handled clearances or the music on the production side.
  • Composer or publisher of the music: name and contacts.

Important note: the "Music duration" must not be typed manually. It is calculated automatically by summing the durations in Annex 1.

Mod. 109 (cinema) note: the film "Length" should be entered as hours, minutes, seconds, or only seconds (whole number).

B) Annex 1: music list

This is the sheet where you list all the music used (original and pre-existing).

Fill only the columns present in the official SIAE file (Mod. 109 or Mod. 109TF). Do not add fields.

One row per music cue. Duration must be seconds, numbers only.

  • 2:00 = 120
  • 0:35 = 35

Anti-error rules

  • Do not write "2:00". Write "120".
  • If a field is unknown, leave it blank.
  • "To be defined" only for text fields. Never in durations, because they must be numbers.
  • Do not rename the sheets. Do not break the formulas.
  • If you use pre-existing tracks, enter the real title and author, not "track 3".

To avoid losing money

  • Titles and names must match between the SIAE deposit and Mod. 109 (Annex 1).
  • The deposited splits (percentages) must be correct and consistent with the actual credits.
  • Always ask the production for a copy of the submitted Mod. 109 and the PEC receipts.
  • If production fills it out, ask for a cross-check before sending (titles, authors, publisher, durations).

Submission (PEC only)

The form must be submitted by the producer exclusively via PEC (not regular email).

  • PEC delivery receipt.

Errors that make you lose money

  1. Titles in Annex 1 differ from titles filed with SIAE.
  2. Tracks not deposited (original score) or deposited with wrong splits.
  3. Durations not in seconds, or text instead of numbers.
  4. Missing tracks used in the film, so they are not declared.
  5. Submission not via PEC or a scanned submission (image file).
  6. Production does not keep PEC receipts and cannot prove submission.
